AI Solutions and Implementation Lead
Last updated:
[intro]
You'll be based in Journey's London studio, a short walk from Old Street tube station. You’ll be the person who bridges the gap between what AI can do and what our client needs it to do, translating complex business requirements into working Microsoft Copilot solutions, owning the configuration and implementation of AI agents, and ensuring stakeholders across the organisation understand and adopt what’s been built. This is not a coding role; it’s a high-impact configuration, facilitation and delivery role requiring deep expertise in the Microsoft 365 and Copilot ecosystem, strong business analysis instincts, and the ability to earn trust quickly in a complex, multi-market enterprise environment.

You will:
Discovery and requirements
Lead structured discovery sessions and requirements-gathering workshops with our pharmaceutical client stakeholders across functions and markets to surface business needs and translate them into clear, scoped AI use cases.
Map current-state processes and design future-state AI-assisted workflows, identifying where Microsoft Copilot agents can reduce manual effort, improve consistency, and generate time savings.
Produce clear business requirements documentation, process flow diagrams, and user stories with acceptance criteria that guide configuration decisions.
Work alongside the Journey Delivery Manager who will own logistics, coordination and project management, your focus is the domain expertise and the build.
AI configuration and implementation
Configure and implement Microsoft Copilot agents and AI-powered modules within the Client’s Microsoft 365 environment.
Work within SharePoint, Teams, and the broader Microsoft 365 stack to deploy and integrate Copilot-based solutions to agreed specifications.
Develop prompts, knowledge sources, and agent instructions that produce reliable, high-quality outputs aligned to the Client’s business context.
Collaborate with the Client’s internal technology teams on environment configuration and any integration touchpoints, you’ll coordinate and brief, not build, the technical integrations.
Maintain thorough documentation of all build decisions, configuration choices, and test outcomes to support handover and continuity.
Configure security settings, permissions, and governance policies within the Copilot and Microsoft 365 environment, ensuring agent deployments meet the Client’s data governance, compliance, and access control requirements.
Testing, quality and iteration
Own internal testing of all configured modules, validating agent behaviour against acceptance criteria and iterating based on findings.
Coordinate and facilitate pilot programmes with the Client user groups, managing feedback loops and leading post-pilot iteration cycles.
Monitor and assess agent performance and adoption post-deployment, proactively surfacing improvement opportunities.
Stakeholder engagement and change
Build trusted relationships with the Client stakeholders at multiple levels, running workshops and check-ins with credibility and clarity.
Support user adoption through training sessions, documentation, and hands-on guidance, helping stakeholders understand what’s been built and how to use it effectively.
Communicate clearly on progress, risks and decisions, working within the project governance and reporting structure established by the Delivery Manager.
Participate in steering group sessions and contribute to project status reporting where required.
About you:
You are a practitioner first, you get things configured and built, not just specified. You’re proud of what you build and hold yourself to a high standard.
You have hands-on experience configuring and deploying AI agents and conversational workflows. You’re comfortable working within enterprise platforms, and you know the Microsoft 365 and Copilot ecosystem well. SharePoint, Teams, and Copilot Studio are familiar territory.
You’re an excellent listener and workshop facilitator. You can sit with a sceptical ops team, earn their trust, and leave the room with a clear, agreed brief. You are comfortable and confident facilitating sessions with senior stakeholders.
You translate complexity into clarity, for both technical and non-technical stakeholders, and you adapt your communication style accordingly.
You’re comfortable with ambiguity. AI implementation is still maturing, and you’re used to learning on the job, making pragmatic decisions, and being honest when you don’t know something.
You are organised, accountable and proactive. You flag risks early, document your work thoroughly, and keep the people around you informed.
You bring a calm, positive energy to a complex project.
Essential experience:
Hands-on experience configuring Microsoft Copilot agents and working within the Microsoft 365 ecosystem (SharePoint, Teams, Copilot Studio). Candidates with equivalent experience in comparable enterprise AI platforms who can demonstrate a clear ability to transfer to the Copilot environment will also be considered.
3–5 years in a role blending business analysis, requirements definition, and implementation, digital transformation consulting, solutions consulting, implementation management, or a senior BA or solution architecture role with technical teams. A background or working knowledge in business analysis or solution architecture.
Proven ability to lead discovery workshops and translate complex, multi-stakeholder business problems into structured, actionable briefs.
Strong process mapping skills, you can design and document future-state workflows that are clear, logical and implementable.
Experience working within enterprise environments: navigating organisational complexity, managing stakeholder relationships across levels and functions, and working alongside internal technology teams.
Excellent written and verbal communication skills, including the ability to produce clear documentation, user stories, and build specifications.
Understanding of conversational AI design principles, including how to structure agent instructions, configure knowledge sources, and develop prompts that produce reliable, high-quality outputs. Familiarity with prompt engineering best practices is a strong asset.
Familiarity with authentication and security concepts relevant to enterprise AI environments (e.g. OAuth, Microsoft Entra ID, role-based access controls).
Strong troubleshooting and analytical skills, able to diagnose agent behaviour issues, interpret unexpected outputs, and iterate systematically toward reliable performance.
Familiarity with governance and compliance considerations in enterprise AI deployments, including data handling, access controls, and operating within regulated environments.
Nice-to-have:
Experience with knowledge management, information architecture, or content governance, for example: structuring and classifying business documents, developing knowledge taxonomies and tagging systems, maintaining searchable knowledge bases for AI retrieval and grounding, or defining metadata standards and content lifecycle practices.
Experience with other AI productivity tooling (e.g. Claude, generative AI platforms) alongside Microsoft Copilot.
Familiarity with no-code/low-code automation tools such as Power Automate, Zapier or Make.
Exposure to pharmaceutical, life sciences or similarly regulated enterprise environments.
Experience working in an agency or consultancy context, managing relationships with external clients.

Our goal is to make Journey the place where you can do the best work of your career and enjoy yourself at the same time. We don't work like traditional agencies. No slow communication chains. You work directly with the people who make decisions.
